2. About this policy

This policy explains how Opervo Ltd collects, uses, stores and shares personal information relating to website visitors, prospective customers, business customers, supplier contacts and other business contacts.

Please do not submit unnecessary sensitive personal information through our website or ordinary business communication channels.

  • during telephone, email or WhatsApp communications;
  • from your employer or another representative of your organisation;

6. Our internal sales and procurement tools

Opervo may use an internally operated AI Sales Copilot and related business systems to assist with enquiry management, product matching, supplier comparison, procurement analysis, customer records and quotation preparation.

These tools support human decision-making. They do not automatically conclude a contract, guarantee availability, approve credit, finalise an order or make legally significant decisions about an individual without appropriate human review.

Product recommendations, potential alternatives, prices, packaging, availability and delivery information may require confirmation before a quotation or order is accepted.

7. Lawful bases

We process personal information only where we have an appropriate lawful basis.

Contract and steps before entering a contract
We may process information when this is necessary to respond to a quotation request, establish a business account, process an order or perform a contract.

Legal obligation
We may process and retain information where this is necessary to comply with company, accounting, taxation, fraud-prevention or other legal requirements.

Legitimate interests
We may process information where necessary for our legitimate business interests, provided those interests are not overridden by an individual’s rights and freedoms.

These interests may include:

  • responding to business enquiries;
  • managing customer, prospect and supplier relationships;
  • maintaining accurate commercial records;
  • protecting our website and systems;
  • improving our supplies, services and business processes;
  • recovering unpaid business debts;
  • identifying relevant business customers; and
  • conducting proportionate business-to-business marketing.

Consent
We rely on consent where this is required, including for optional cookies and certain forms of electronic marketing. Consent may be withdrawn at any time.

8. Business-to-business marketing

Opervo may contact corporate organisations about supplies or support that appear relevant to their business activities where the law permits this.

Where personal information is used for business-to-business marketing, we will use an appropriate lawful basis and provide a clear way to object or opt out.

We will not continue to use an individual’s information for direct marketing after receiving a valid objection.

Sole traders and certain partnerships may have additional protections under the Privacy and Electronic Communications Regulations.

To opt out, contact info@opervo.co.uk.

9. Who we may share information with

Where necessary and proportionate, information may be shared with:

  • suppliers and distributors helping us source or confirm supplies;
  • delivery, courier and logistics providers;
  • website, hosting and form-management providers, including Wix;
  • business email and cloud-service providers, including Google Workspace;
  • communications providers used for telephone or messaging services;
  • accounting, bookkeeping, banking and payment-service providers;
  • IT, cybersecurity and technical-support providers;
  • professional advisers, including accountants, insurers and legal advisers;
  • regulators, public authorities, courts or law-enforcement bodies where required; and
  • another organisation in connection with a genuine business sale, restructuring or transfer, subject to appropriate safeguards.

We do not sell personal information to data brokers or unrelated third-party marketing companies.

We only provide suppliers with the information reasonably required to assess, source or fulfil a business requirement.

10. International processing

Some technology and cloud-service providers may process information outside the United Kingdom.

Where this occurs, we expect the relevant provider to use an appropriate lawful transfer mechanism and suitable contractual or organisational safeguards as required by UK data-protection law.

11. How long we keep information

We retain information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting and dispute-resolution requirements.

Our usual approach is:

  • unconverted general enquiries: normally up to 24 months after the last meaningful contact;
  • prospect and business-development records: reviewed periodically and removed or suppressed when no longer relevant;
  • marketing suppression records: retained as necessary to ensure that an opt-out continues to be respected;
  • customer, quotation, order, invoice and accounting records: normally six years after the end of the relevant financial year or transaction period where required for tax, accounting or legal purposes;
  • supplier and business-contact records: for the duration of the active relationship and a reasonable period afterwards;
  • complaints and dispute records: for the duration of the matter and any applicable legal limitation period; and
  • cookie-consent records and technical logs: according to the purpose, configuration and retention period of the relevant system.

Information may be retained for longer where required by law, required for an active dispute or reasonably necessary to establish, exercise or defend legal claims.

12. Security

We use proportionate technical and organisational measures intended to protect personal information against unauthorised access, accidental loss, alteration, disclosure or destruction.

Access to business records is restricted according to operational need. However, no internet transmission or electronic storage system can be guaranteed to be completely secure.

13. Your data-protection rights

Depending on the circumstances, you may have the right to:

  • be informed about how your information is used;
  • request access to your personal information;
  • ask us to correct inaccurate or incomplete information;
  • ask us to erase information in certain circumstances;
